We understand that as parents, school administrators, and educators, protecting privacy and that of your students is crucial. Therefore, we have created this Privacy Policy in a simple and understandable way to outline our dedication to safeguarding privacy.

This privacy policy applies to the Website only and does not cover information collected on any third-party sites to which this Website links.

By visiting the Site and/or using the services offered on or through this Website, you acknowledge and accept the terms of this Privacy Policy and the User Agreement as they may be amended from time to time. Children's Online Privacy Protection

To protect children's online privacy, we don't automatically collect student's personal identifiable details unless teachers, schools or districts have opted into our analytics feature.

Our services are intended for users who meet the minimum age requirement, typically 13 years old in most jurisdictions. Users under 13 may only access our services with verifiable parental or legal guardian consent.

Schools may sign an addendum with TeachFlows to confirm they have obtained parental consent for technology use in their classrooms. This addendum ensures student data is used only for educational purposes and is handled in accordance with applicable laws.

If TeachFlows is notified of any account created by users under the minimum age without proper consent, the account will be deleted, and relevant parties notified.

 

Teachers or educational institutions utilizing TeachFlows have the discretion to determine whether or not to collect student data. TeachFlows provides tools and features to support both data collection and non-data collection approaches, leaving the decision in the hands of educators.

When student data is provided, TeachFlows is committed to maintaining the highest standards of data privacy and security, as outlined in this policy. At any point, teachers and educational institutions can choose to stop the collection or request the deletion of previously collected data at contact[at]teachflows.com.

Personal Information

Information Collection:

We collect your personal information in a lawful and fair means and not in an unreasonably intrusive manner. For example, TeachFlows collects personal information, which is necessary to provide you with the learning content creation features you are authorised to access.

We collect your personal information

This specifically includes your name, email, address, school (optional) and a password for your account whenever:
  • You register on the TeachFlows website
  • You upgrade your account or link your account to a school or district subscription
  • You agree to receive informational updates, offers, and/or other notifications from TeachFlows
  • You participate in a survey conducted by TeachFlows

NOTE: TeachFlows does not capture or store your credit card information, whereas all such transactions information is transmitted in an encrypted form using Secure Socket Layer (SSL) protocol using an industry-leading third-party, Stripe. You can read more about their privacy policy here.

Reasons for collecting personal information to:
  • Customise your TeachFlows account
  • Send you suggestions for relevant AI resources to speed up your workflows
  • Transmit the password information when required to authenticate your access
  • Identify you as the subscription owner and provide better customer service to you

AI Data Processing & Consent Management:

At TeachFlows, we are committed to transparency in how personal data is used in AI-powered functionalities. We provide clear and accessible information about the collection, use, and processing of personal data when interacting with AI features. Before AI-related data collection or sharing occurs, users are provided with clear information in the form of this privacy policy.

Your data is never used to train AI models:

  • TeachFlows does not use your personal data for the purpose of training or developing AI models. Under no circumstances will your data be reused for any unintended purpose without your explicit, informed consent or as otherwise required by law. TeachFlows engages third-party AI model providers that include robust confidentiality obligations and explicit prohibitions on using customer data to train, modify, or improve their own AI models.
  • A list of our current data Sub-processors is provided at the end of this Privacy Policy and may be updated from time to time.

Data Used in AI Processing

To create AI Resources (data inputted by you to generate a resource):

  • We collect and process only the information you explicitly input when engaging with the AI features, including, but not limited to, Year Level, Subject, Requirements, Difficulty Level, and any other data fields you voluntarily input before clicking the “Generate” button. Once you click the "Generate" button, the data you have filled in the form is the only data that is sent to the AI model.
  • We do not collect or transmit any personal data to AI models beyond what you explicitly provide when creating a resource. If at any time you believe additional personal data has been inadvertently shared with AI, please contact us immediately so that we can address the situation promptly.

For AI Usage Analytics (opt-in by default):

  • We may collect aggregated, de-identified usage data for security oversight, platform performance monitoring, fair use enforcement, and to enhance our AI functionalities. This data does not and cannot be used to identify any individual user.

For AI Personalization Features (opt-out by default):

  • By default, all users are opt-out for AI personalization. However, if you opt-in to enable personalized AI-generated resources, we may save certain preferences (e.g., subject, year level) for the purpose of tailoring outputs to your specific instructional needs.
  • You may withdraw your consent for personalization at any time via your profile settings. Upon withdrawal, no further data related to personalization will be collected, though previously collected data may be retained as required by applicable law or our legitimate business interests, such as maintaining service integrity and compliance documentation.

Manage your Consent
  • You may navigate to app.teachflows.com/profile to manage your personal data preferences, including:
    • Opting In/Out of AI Data Sharing: Control the scope of data shared with the AI functionalities.
    • Data Access: Obtain information regarding personal data TeachFlows maintains about you.
    • Data Rectification: Correct or update any incomplete or inaccurate personal data we hold.

Withdrawal of Consent

  • You may revoke your consent to process personal data for AI functionalities at any time without prejudice to the lawfulness of processing based on consent prior to withdrawal.

Cookies:

Cookies are small text files used to temporarily store a record of your website navigation and maintain your login identity. It supports us to take appropriate measures for personalising your web-viewing experience by keeping track of your session. Cookies do not contain identifiable information or collect any personally identifiable information other than what users submit and their browsers transmit. Your information will be held in Australia. Protecting your privacy is very important to us. Schools and districts can request hosting data in their country, which is only available on the TeachFlows Enterprise offering.

Your collected information will only be used or disclosed for the purpose for which it was collected (the primary purpose) or for a secondary purpose that an individual would reasonably expect. Secondary purposes may include our communication with you about us, our website or other business initiatives. If you do not wish to receive any more similar emails, click the 'unsubscribe' button at the bottom of the email, and we will not send you anymore emails. If you do not provide personal information to us, we may not provide you with services through the website.

We may disclose your personal information when required to do so by government authorities or otherwise as required or permitted by law to prevent or detect a crime. We also may disclose user information when we have reason to believe that someone is interfering with other customers or users of the Website or to protect our rights or anyone else that such activities could harm.

If one or more third parties acquire TeachFlows due to an acquisition, merger, sale, reorganisation, consolidation or liquidation, Personal Information may be one of the transferred assets. We may share your data with website hosting service providers that help us run the website or with our partners in Australia or outside Australia. By using the TeachFlows website, you consent to transferring your information outside your country, including to our United States servers.

Security

Account

You are responsible for the confidentiality of your username and password. You agree not to share this information with anyone else. You also agree to notify TeachFlows immediately of any unauthorised use of your username and password.

TeachFlows will use your username and password to identify you when you return to our website for using your paid subscription. If you forget your password, you may be issued a new password. Therefore, we highly recommend you change your password from time to time.

TeachFlows will not be liable for any loss or damage arising from your failure to comply with this section. If you don't access the account for more than one year, your account will be on hold to protect your privacy. In that case, you have to contact TeachFlows to release your account.

Internet and Third-Party Networks

When as an authorised user, you access the TeachFlows website, you are using it through the World Wide Web, the Internet or third-party networks or facilities that are beyond the control of TeachFlows.

Accordingly, you as a user assume all risk and liability of your use of the World Wide Web, the Internet or any such third-party networks.

Information

We employ reasonable physical, electronic, and managerial security measures following the privacy statement to safeguard and prevent unauthorised access, use and/or disclosure of your personally identifiable information collected while joining the subscription.

We review our security systems and processes regularly to make any appropriate changes required. At any stage, if your personal information such as email or phone changes, then your account may not function properly. It is your responsibility to inform TeachFlows immediately of such changes. We will retain your information for a reasonable period or as long as the law requires.

Unfortunately, no data transmission over the Internet can be guaranteed to be secure. While purchasing an online subscription, all of your credit card information is transmitted in an encrypted form using Stripe's Secure Socket Layer (SSL) protocol. Whilst TeachFlows strives to protect your identifiable information, and we cannot ensure or provide any warranties in respect of the security of any information you transmit to us or obtain from our online products or services. While we take commercially reasonable measures to maintain a secure site and electronic communication, accordingly, the use of the TeachFlows website is at your own risk.

However, due to the inherent nature of the Internet as an open global communications vehicle, we cannot guarantee that information, during transmission through the Internet or while stored on our system or otherwise in our care. We take extreme care through implementing industry-standard security techniques such as an SSL certificate and our website and applications being hosted on Google Cloud Platform, one of the world’s most trusted and secure hosting provider.

Data Protection & Trust

We employ encrypted transmissions and firewalled storage to protect data safety.

Data Breach Protocols: Should the unforeseen occur—a data breach—TeachFlows will not only follow legal mandates but also proactively work to mitigate impacts, alert stakeholders within reasonable timing, and follow our data breach accountability & playbook plan.

Digital Footprint Capture: Our digital ecosystem occasionally records usage metrics, logs, and device-specific details, ensuring we continually refine our offerings for you. These data points will only be provided to our team once they are fully masked, aggregated and anonymized.

Data Retention: We retain your information for the duration that your account remains active and for a limited period thereafter, should you choose to return. If users opt to delete their accounts, TeachFlows will attempt to the best of our ability to delete all retained data.

Links

The TeachFlows website may contain links to other websites of interest or resources with privacy policies that may differ from ours. TeachFlows is not responsible for the privacy, accuracy or security practices or the content of such websites. Therefore, we recommend that you read and understand the privacy policy on any website before providing personal information on that website.

TeachFlows takes all reasonable steps to ensure that all external links used by us are safe. However, TeachFlows shall not be liable, directly, or indirectly, for any damage or loss caused or alleged to be caused by or in connection with the use of any such content, goods or services available on or through any such site or resources.

Changes to our policy

TeachFlows reserves the right to change, update or remove this Privacy Policy, or any other of our policies or practices, at any time. We will notify you by posting the revised version on the TeachFlows Website homepage as a banner notification for 7 days and ask for your agreement to it at that time.

If you do not agree to the amended Privacy Policy, you may not continue accessing or using the website. Policy changes are effective from the time of such publication. This policy was last modified on January 30, 2025.

Just as learning never stops, our privacy commitment changes as the industry, including AI regulation, evolves. Should there be any major updates to how we handle your private data, we will notify you via email, and we encourage you to consent to the changes to ensure your continued usage of our application.

User Registration

2.1. TeachFlows provides restricted access to its services. Certain features may require user registration.

‍When creating an account, users may choose to provide pseudonyms or de-identified information to enhance privacy. While accurate information may be recommended for specific features, it is not a requirement for basic registration. However, TeachFlows reserves the right to suspend or terminate accounts that violate its Terms of Service or Acceptable Use Policy, including the misleading creation of accounts to extract source code, designs or features from the Service.

2.2. You are responsible for maintaining the confidentiality of your login details and are fully responsible for all activities that occur under your account.

2.3. Once you have completed the registration process, you will be a registered Student, Teacher or School Admin of the Service and agree to be bound by the Terms.

User Obligations

3.1. You agree not to use the Service in any way that is unlawful, harmful, threatening, or otherwise objectionable.

3.2. You shall not infringe on the intellectual property rights, privacy rights, or any other rights of any person or entity.

3.3. You shall not distribute viruses, spam, or any other malicious content.

3.4. You will not excessively or maliciously use our AI software to slow down or impede the services for others.

3.5. You will not commercially use the resources generated by TeachFlows. If you are interested in doing this, please contact TeachFlows to organize an appropriate waiver.

Content

4.1. The Service may allow you to upload, share, and manage content. You retain all rights to the content you post but grant TeachFlows a non-exclusive, royalty-free, worldwide license to use, display, and reproduce such content for the purpose of providing the Service.

4.2. You are solely responsible for the content you post and the consequences of sharing it.

Privacy

5.1. Any personal information submitted via the Service is subject to our Privacy Policy, which governs our collection and use of your personal information.

Subscription and Payment

6.1. Some features of the Service may be available only upon payment of a fee. Details of subscription plans and their pricing are available on the platform.

TeachFlows Intellectual Property

8.2. TeachFlows does not warrant that the Service will be uninterrupted, timely, or free from errors.

Limitations of Liability

To the extent permitted by law, TeachFlows shall not be liable for any direct, indirect, incidental, special, consequential, or exemplary damages, including but not limited to damages for incorrect information, goodwill, or other intangible losses resulting from the use or inability to use the Service.

9.2. TeachFlows' maximum aggregate liability for any claims arising out of or related to the Service shall be limited to the amount paid for the Service in the twelve (12) months prior to the event giving rise to the liability.

11.2. TeachFlows may suspend or terminate your access to the Service at any time, for any reason, including for breach of these Terms.

11.3. Upon termination, all provisions of these Terms which by their nature should survive will remain in effect, including sections on limitations of liability and dispute resolution.

Governing Law

13.1. These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which TeachFlows is incorporated, without regard to its conflict of law provisions.

Changes to the Terms

14.1. TeachFlows reserves the right to modify or replace these Terms at any time. If a revision is material, we will provide at least seven (7) days' notice on our platform. Your continued use of the Service after the changes become effective constitutes your agreement to the new terms.

Data Privacy and Security

15.1. TeachFlows respects the privacy of its users and is committed to protecting user data. The collection, use, and disclosure of personal information are governed by our Privacy Policy, which is hereby incorporated by reference.

15.2. While TeachFlows employs security measures to protect user data, no system is impenetrable. TeachFlows cannot guarantee the absolute security of its databases.

Your Intellectual Property Rights

16.1. The Service, including its text, graphics, images, logos, and other material, is the property of TeachFlows or its licensors and is protected by copyright, trademark, and other intellectual property laws.

16.2. Unauthorized use of any TeachFlows trademarks, logos, domain names, or other distinctive brand features is prohibited.

16.3. We do not claim any rights to your uploaded content. However, only for the delivery of service such as displaying your uploaded content to students or other users, by uploading the content to our servers and providing express consent to share or assign resources, you hereby grant, TeachFlows a non-exclusive, transferable, worldwide, royalty-free license, with the right to sublicense, to use, host, cache, store, reproduce, transmit, publicly display, publicly perform, publish, distribute and modify the uploaded content.

Feedback and Suggestions

17.1. Any feedback, comments, or suggestions you provide regarding TeachFlows or the Service is entirely voluntary. TeachFlows is free to use such feedback as it sees fit and without obligation to you.

Severability

18.1. If any provision of these Terms is deemed invalid, or unenforceable, the remaining provisions shall remain in full force and effect.

Waiver

19.1. The failure of TeachFlows to enforce any right or provision of these Terms will not be deemed a waiver of such right or provision.

Assignment

20.1. You may not assign your rights or delegate your obligations under these Terms without the prior written consent of TeachFlows. TeachFlows may assign these Terms or its rights and obligations without restriction.

Entire Agreement

21.1. These Terms, including any policies and agreements incorporated by reference, constitute the entire agreement between you and TeachFlows and supersede all prior understandings, both written and oral, with respect to the Service.

TeachFlows reserves the right to take appropriate action if any behavior or content violates these standards, even if not explicitly outlined here. Prohibited Activities

1. Disruption of Services
  • Security Interference: Attempting to probe, scan, or test the vulnerability of TeachFlows systems or networks, or bypassing security or authentication measures.
  • Unauthorized Access: Tampering with, reverse-engineering, or hacking our services, or accessing systems, networks, or data without proper authorization.
  • Service Overload: Generating excessive load on our systems through automated means such as bots, scripts, or similar tools, beyond normal usage patterns.
  • Data Integrity Violations: Modifying, disabling, or compromising the integrity and performance of TeachFlows services or systems.

2. Misuse of the Platform
  • False Representation: Misrepresenting your identity, impersonating others, or falsely affiliating with TeachFlows or third parties.
  • Privacy Violations: Collecting, posting, or distributing personal or confidential information of others without proper consent.
  • Harassment and Threats: Using the platform to intimidate, stalk, harass, or issue specific threats of harm or violence.
  • Illegal Purposes: Engaging in any activities that violate applicable laws, including privacy, intellectual property, and export regulations.
  • Unauthorized Access Methods: Scraping, crawling, or using non-public interfaces to access TeachFlows’ services.

3. Teachers’ Fair Use of AI

When using TeachFlows’ AI features, teachers are expected to adhere to the following standards:

  1. Verify Outputs: Review and verify AI-generated content for accuracy, relevance, and appropriateness before using it in the classroom. AI outputs are not infallible and should be critically assessed.
  2. Encourage Responsible Use: Model ethical AI usage for students by incorporating AI in a way that complements teaching rather than replacing essential learning processes.
  3. Respect Classroom Dynamics: Use AI responsibly to enhance learning experiences without creating dependence or diminishing the role of critical thinking in the classroom.
  4. Avoid Jailbreaking AI: Do not attempt to circumvent AI safeguards, including using prompts or methods to make the AI behave inappropriately or generate misleading or harmful content.
  5. Foster Transparency: Clearly communicate to students when and how AI tools are used in lessons, ensuring transparency in educational practices.

Content Standards

TeachFlows prohibits content that:

  • Violates Rights: Infringes on intellectual property, privacy, or proprietary rights of others.
  • Promotes Harm: Includes obscene, defamatory, harassing, or hateful material, or encourages dangerous or illegal activities.
  • Discriminates: Attacks individuals or groups based on race, ethnicity, gender, sexual orientation, religion, disability, or similar protected characteristics.
  • Contains Malicious Software: Includes viruses, worms, or any content that compromises system security.
  • Spreads Disinformation: Includes false, deceptive, or misleading information that could harm users or the integrity of the platform.

Enforcement of Acceptable Use Policy

TeachFlows reserves the right to interpret this policy and take corrective actions, which may include:

  • Removing or disabling access to content that violates this policy.
  • Temporarily or permanently suspending accounts or services.
  • Reporting illegal activities to appropriate authorities.

Users found in violation may be required to cooperate with TeachFlows in investigating and remedying the issue. TeachFlows also retains the discretion to modify or update this policy as needed to reflect evolving standards and practices.

  • No Tricking the Tools: Don’t try to make the tools do bad things, like saying mean stuff, making up fake stories, or sharing false information.
While interacting with other people
  • No Bullying: Don’t use TeachFlows to send mean messages or hurt others.
  • No Sharing Personal Info: Never share your personal details (like your full name, address, or passwords) with the tools, even if you’re asked.
  • Be Honest: Don’t use TeachFlows to create or share lies, fake news, or anything that could confuse or upset others.
While interacting with AI
  • Only When Assigned: Use AI tools like chat or writing help only when your teacher tells you to.
  • Keep it Safe: Don’t ask AI to create anything mean, rude, or harmful.
  • Don’t Share Sensitive Stuff: Don’t tell the AI private things about yourself, your family, or your friends.

What Happens if Rules Are Broken?

If you don’t follow these rules, here’s what might happen:

  1. Your Teacher Will Be Told: Your teacher might get a notification about what happened.
  2. Access Could Be Limited: You might not be able to use TeachFlows for a while.
  3. Serious Issues Will Be Reported: If something very serious happens, TeachFlows might talk to your school or a parent to keep everyone safe.
